Equipe AB ("we", "us") runs the show administration software at app.equipe.com. This policy explains what we do with personal data there: both yours, as someone who signs in, and everyone else's, as data you put into the system.

The short version: the competition data in your show is yours, and we only handle it because you asked us to. Your own account data is ours to look after. We do not sell anything to anyone, and we do not use advertising or tracking.

Two roles, and why the difference matters

We are the data controller for the accounts of people who sign in to app.equipe.com: your name, your email address, how you use the software, and what you write to our support.

We are a data processor for everything inside your show: riders, horses, owners, officials, entries, results and invoices. You are the controller of that data. We process it on your instructions, and the terms are set out in our Data Processing Agreement.

There is a third case. When you publish results to online.equipe.com, we become an independent controller of the public archive: we decide that it stays up and that it stays searchable. We take responsibility for that rather than sending riders back to an organizer who may no longer exist. What that means in practice is set out under what becomes public.

What we collect about you

  • Account information. Your name, email address, the organizers you have access to, and your permissions. We use it to sign you in, to show who did what, and to contact you about the service.
  • Activity. Equipe records who changed what and when. This is an audit trail for your show, and it is how questions about a result get answered.
  • Log data. Our servers log IP address, browser, pages and timestamps so we can keep the service running and investigate problems. We do not use logs for tracking or profiling.
  • Support. If you write to us, we keep the correspondence so we can help you and remember what we said.
  • Billing. Company details, VAT number and invoice history for the organizer you belong to.

We use cookies only to keep you signed in and to make the software work. No advertising cookies, no third-party trackers.

Why we are allowed to do this

  • To perform our contract with you (Article 6(1)(b)): running your account, providing the software, taking payment.
  • Our legitimate interests (Article 6(1)(f)): keeping the service secure, preventing abuse, fixing errors, and keeping an audit trail that makes a competition verifiable.
  • Legal obligations (Article 6(1)(c)): accounting and tax records.

For the data inside your show, the legal basis is yours to establish as controller. In practice it comes from the rules of the federation governing the event, which require entries to be administered and results to be published.

Who else sees it

The companies that help us run Equipe are listed in full, with what each one does, under subprocessors. We do not sell personal data and we do not share it for anyone else's marketing.

Federations are a separate matter. The FEI and national federations receive entries and results under their own rules and decide for themselves what to do with them. They are not our subprocessors and they are not acting on our instructions.

Where data is stored

Our servers and databases are in the European Union. Some of our suppliers are established outside the EU, and where personal data reaches them it is transferred under the European Commission's Standard Contractual Clauses or an adequacy decision. The subprocessors page says which ones and where.

How long we keep it

  • Account data for as long as you have an account. We do not delete it on a timer; it stays until you ask us to remove it, so that the audit trail of your shows still makes sense.
  • Show data for as long as you are a customer. When you leave, tell us what you want done with it. Unless you say otherwise we keep archived shows so that you can come back to them.
  • Invoices and accounting records for seven years, as Swedish bookkeeping law requires.
  • Published results indefinitely. See what becomes public.

Your rights

You can ask us to give you a copy of the personal data we hold about you, correct it, delete it, restrict what we do with it, or object to it. You can also ask for it in a portable format. Email info@equipe.com and we will answer within a month.

If you are asking about data inside a show — a rider, a horse, an entry — the organizer of that show is the controller, and we will pass your request to them. If it concerns a published result, come to us directly.

If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to a supervisory authority. In Sweden that is Integritetsskyddsmyndigheten (IMY), imy.se. You may also complain to the authority where you live or work.

Security

Data is encrypted in transit. Access to production data is limited to the people at Equipe who need it to support you, and every show sits in its own database schema. If we discover a personal data breach affecting your show, we will tell you without undue delay and give you what you need to make your own notification.

Changes to this policy

We will update the date at the top when we change anything. If a change materially affects how we handle your data, we will tell you before it takes effect rather than leaving you to notice.
