Equipe policiesEquipe AB ("we", "us") makes the software that shows are run on. You may have met it by entering a competition through Equipe Entry at entry.equipe.com. Or you may simply have found your name in a start list or a result, because a show you rode at uses Equipe — without ever choosing us or agreeing to anything. This policy is for you either way, and it explains what happens to your personal data and to your horse's.
The short version: start lists and results are published on the internet and stay there. Your contact details, your payment details and your address are not published, ever. If you entered through Equipe Entry, your entry goes to the organizer of that show and to nobody else.
What becomes public
This is the part worth reading twice. When you take part in a competition, the organizer publishes start lists and results — however your entry reached them. That is how the sport works, and it is required by the rules you compete under. Svenska Ridsportförbundet's general regulations put it plainly: a rider who enters a competition thereby accepts that start lists and result lists are published via the internet. The FEI sets out what an official start list must contain.
Published
- your name, nationality, and club or team
- your age category where a class depends on it, such as pony or junior — but not your year of birth
- your horse's name, studbook, sex, colour and year of birth, and the names of its owner and breeder
- your start number, start time and class
- your scores, times, faults, ranking and status
- prize money and placing, where the show publishes them
Never published
- your address and phone number
- your email address, which is never displayed anywhere
- your national identity number and full date of birth
- your bank details and what you paid
- anything you write to the organizer or to us
Published results appear on online.equipe.com, in the Equipe mobile apps, and through our API. Anyone can read them without an account, search engines index them, and other services can copy them. They stay up indefinitely, because results are the historical record of the sport and are used for qualification, ranking and breeding.
We cannot take back something that has been public. Other people have copies by then.
What we collect
The first three items below apply if you have an Equipe Entry account. If you only appear in published results, we hold what the organizer sent us about your starts, and nothing you gave us yourself.
- Your account: name, email address, and your password or the federation login you signed in with.
- Your rider details: contact details, federation or license number, date of birth, club, and whatever else the shows you enter require.
- Your horses: name, registration and studbook details, owner, and competition record.
- Your entries: which shows and classes you entered, when, and what you paid.
- Log data: IP address, browser, pages and timestamps, so we can keep the service running and investigate problems.
We use cookies to keep you signed in and to make the site work. We use Plausible, a privacy-focused analytics tool that sets no cookies and does not track you across sites, to count visits. No advertising, no third-party trackers. See our Cookie Policy.
Why we are allowed to do this
We process your data to give you the service you asked for, which is to enter competitions (Article 6(1)(b) of the GDPR). Publication of start lists and results happens under the rules of the federation governing the show, and rests on those rules and on the legitimate interest of the sport in an open and verifiable competition record (Article 6(1)(f) and, where a federation's rules are binding, 6(1)(c)).
We are not asking you for consent to publish, and you are not giving it. Entering a competition under a rulebook is not the same thing, and it would be misleading to call it consent when withdrawing it is not an option. Being straight about that is better than the alternative.
Who gets your data
- The organizer of the show you entered. They receive your entry and run the competition. They are responsible for the data in their own show.
- online.equipe.com and the Equipe apps, for whatever the organizer publishes.
- Your federation and, for international shows, the FEI. They receive entries and results under their own rules and decide for themselves what to do with them. For FEI events reporting results is mandatory.
- Stripe, when you pay by card. They handle the payment; we never see your full card number.
- SendGrid, which sends our email to you.
- Honeybadger, which tells us when something crashes. An error report carries the data being handled at that moment, and it includes the name and email address of whoever was signed in. We filter out passwords and keys, not personal details.
- Heroku, Google Cloud and Amazon Web Services, which host the service and store files. Our servers are in the European Union.
We do not sell your data and we do not share it for anyone's marketing. Where a supplier above is outside the EU, the transfer is covered by the European Commission's Standard Contractual Clauses or an adequacy decision. The full list is on our subprocessors page.
Reusing your details at other shows
If you have an FEI ID, the accreditation form offers to save your details so that you do not have to type them again. It is off unless you tick it, and it is worth understanding before you do.
Ticking it keeps a copy of your details with Equipe rather than with the show you are at. Any show running on Equipe can then fill them in for you when it looks up your FEI ID — including shows run by other organizers, in other countries. That is the point of it, and it is also the part people do not expect, so we would rather say it plainly than let you find out later.
What is saved:
- your name, address, phone numbers and email address
- your bank details, so that prize money can reach you
- your national identity number and passport number, where you gave them
- company, VAT and tax details, if you compete through a company
None of it is published. It never reaches online.equipe.com and it is in no API. It moves between shows inside app.equipe.com and nowhere else.
When you first save your details we email you a link. That link lets you see what is stored, correct it, or delete it, and it keeps working. Deleting removes the saved copy so that no further show can load it. It does not reach back into shows that already filled your details in — that data belongs to the organizers who ran them, and you would need to ask them directly.
How long we keep it
- Your account and rider details for as long as you have an account.
- Your entry history for as long as the organizers you entered need it.
- Payment records for seven years, as bookkeeping law requires.
- Published results indefinitely, as described above.
You can delete your account at any time. That removes your account and your saved details from Equipe Entry. It does not remove entries you have already made or results that have been published.
Your rights
You can ask us for a copy of your data, ask us to correct it, delete it, restrict what we do with it, object to it, or give it to you in a portable format. Email info@equipe.com and we will answer within a month.
Deletion of a published result is the one we usually have to say no to. Under Article 17(3) of the GDPR the right to erasure does not apply where processing is necessary for freedom of expression and information, for a legal obligation, or for archiving in the public interest. We will always correct a result that is wrong, and we will remove anything published by mistake. If you have a safety reason for wanting your name removed, tell us and we will look at it properly.
If you think we have handled your data badly, tell us first so we can fix it. You can also complain to a supervisory authority. In Sweden that is Integritetsskyddsmyndigheten (IMY), imy.se. You may also complain to the authority where you live.
If someone else entered you
Sometimes a club secretary or a federation register puts your details into a show rather than you doing it yourself. In that case we received your data from them, not from you. You have the same rights either way, and you are welcome to ask us what we hold.
Young riders
Pony and junior classes mean competitors who are children. Their names, clubs and results are published like everyone else's, because the rules of the sport require it. We publish year of birth or age category where a class depends on it, never a full date of birth. If you are a parent or guardian with a concern, write to us.
Changes to this policy
We will update the date at the top when we change anything. If a change materially affects you, we will tell you rather than leaving you to notice.
